Tampa edocument software company pivots in wake of pandemic

Tampa-based OnTask, which is an arm of the document lifecycle software organization Accusoft, has made significant shifts during the pandemic, including downsizing its physical offices. 

In 2020, the Tampa-based tech company launched OnTask, a business division focused on the growth of Accusoft’s document automation tool, which originally came to market in 2016. Steve Wilson, who was vice president of product at Accusoft, transitioned to the President of OnTask. OnTask differs from the other 20-plus products at Accusoft because it targets end-users rather than developers. It is a workflow automation tool aimed to serve small to mid-sized businesses that need to digitally send and fill forms and get signatures on documents.

“It all started because we had over 1,000 customers and their contracts would ultimately end up in a red folder on [Accusoft CEO Jack Berlin’s] desk. We solved our own problem and took it to the market,” Wilson said.  

Although OnTask utilizes Accusoft’s technology, the division runs independently with separate marketing, sales and engineering teams.

Since its inception, the division has worked with clients needing documents to form agreement letters, or documents needed to establish a business, but the pandemic threw a curveball. 

“OnTask blew up during the pandemic because many companies reached out to us to do vaccine tracking for their employees. The tracking got us into HR organizations that were trying to reopen offices safely,” Wilson said, explaining how it was also critical for groups needing to travel to trade shows. 

OnTask added features such as automated reminders and making sure employees received their second shots. The platform includes tracking documents ranging from the employees’ vaccination records, Covid test results and exemption requests to their wellness status.

The pivot in serving the unmet need for HR groups wasn’t the only change OnTask experienced. The parent company downsized and condensed its three Tampa offices down to one physical building at 4001 N. Riverside Dr. 

“The work-from-home model has quickly changed our minds. We realized we can be really productive working from home,” Wilson said. The teams typically trickle into the office on a rotating schedule. 

As the height of the pandemic has subsided, the vaccination tracking is becoming less prevalent although, it did open more doors for OnTask to enter new relationships with corporate groups. OnTask maintains its focus on its current offerings and how it can continue to advance.

“We can handle all of the conditional logic and now we are looking at using artificial intelligence or more intelligent capture to make decisions. One feature is the ability to recognize certain fields on a document, so if you had a PDF and want to digitalize it, people can detect where those blank fields are,” Wilson said about the latest innovation. 

OnTask was one of several companies that operated a booth at the poweredUp Tech Fest event held last week at the Mahaffey Theater in St. Petersburg.
